To set up a WhatsApp AI agent, you need three things: clear business information, access to the accounts it will use, and a few customer questions to test. Start with one job, such as answering service questions. Add bookings and follow-ups after the answers work well.

1. Pick the first job
Write down what you want the agent to do in one sentence. For example: ‘Answer questions about our courses and collect the subject and year group.’ That gives you a clear result to test.
Choose five real customer questions, with personal details removed. Include a normal question, an unclear one and something your team has to check. Keep the answers you expect beside them. You will use these after setup.

2. Gather the answers customers need
Prepare your services, current prices, hours, location and policies. Use the same words your customers use. ‘Do you visit homes?’ is easier to recognise than an internal service code.
Check that your website and price list agree. If a price depends on an inspection, say that clearly. Add a date to the information and choose someone to update it when things change. Leave out passwords, private customer files and information the agent does not need.

3. Get the right accounts ready
Have the owner of your WhatsApp business account available for setup. Tell the Nudge team how you use the number today. The connection steps depend on that setup. Do not delete an existing WhatsApp account or move the number before the team confirms the right route.
For bookings, choose the Google Calendar that has the real availability. Decide your hours, appointment length and time zone. For payment links, Nudge currently uses your Razorpay account in INR. For Zoho, agree which customer details should sync. These actions need the right paid plan and connected accounts.

A good first test: answer from the course list, ask one useful question, then pass the details to the right teammate.
4. Test more than the easy questions
Start with your five questions. Read each answer: is it correct, clear and short enough? Change the business information if the agent is missing a fact, then ask again using different wording.
Test a missing price, a request for a person and a message saying STOP. For bookings, also try a full time slot and a calendar that cannot be reached. A message saying ‘booked’ is not enough: check the actual calendar entry. Keep a short list of anything that needs fixing.
5. Choose who checks the inbox
Decide who handles requests for a person, who covers days off and who keeps the business information current. Review the first live conversations daily. Look for repeated missing answers and fix those first.
