Make Shopify the order source of truth

Answer order questions from the current Shopify order record, not from a copied spreadsheet or an old chat. Keep the order number, payment state, fulfilment state, tracking link and cancellation state attached to that record so the reply reflects what the store actually knows.

Shopify webhooks can notify your system when an order is created, paid, fulfilled, delivered or cancelled. Verify each delivery, store its unique identifier and make processing idempotent so a retry does not create a second customer update. Shopify's webhook guide is the current reference for subscriptions and delivery handling.

Webhook delivery alone is not guaranteed: a delivery can be missed, or accepted work can stop before processing completes. Production systems need periodic reconciliation against Shopify and recovery for unprocessed deliveries. For the controlled rollout, a recovery sweep is still required before stores rely on this workflow for production delivery completeness; that sweep is not live yet.

An order number alone is insufficient. It can be guessed, mistyped or forwarded. Match only an order placed with the linked phone number that sent the WhatsApp message, and keep the lookup inside the same store workspace.

If the phone number does not match, do not reveal the order. Ask the customer to use the number attached to the purchase or route the case to staff for a separate identity check. A store with two similar order numbers must never leak one customer's details to another.

Example conversation
CustomerWhere is order #1001? I placed it with a different phone number.
BusinessFor privacy, please message us from the phone number used for that order. If you cannot access it, I can hand this to our support team for a separate identity check.

Do not reveal order details until the linked number matches; give an exception to a named staff owner.

Let the customer start tracking

Put a “Track your order on WhatsApp” link on the thank-you page or in the order email. The customer opens WhatsApp and sends a message such as “Track order #1001” from the phone number used for that order. Their own message starts the tracking conversation.

After the number and order match, record a utility opt-in for transactional order updates. Keep the evidence with the customer and order so the send path can decide whether a later confirmed, shipped, delivered or cancelled update is allowed.

Use an approved utility template for status changes

Prepare one approved utility template for each status the store will send: confirmed, shipped, delivered and cancelled. Populate only the relevant order fields, and include the tracking link only when Shopify provides one.

Send once per real transition. Webhook retries and overlapping fulfilment events should converge on the same stored status rather than produce duplicate messages. Recheck the current WhatsApp Business Messaging Policy before changing a live message flow.

Buying is not marketing consent. A utility opt-in covers the order updates the customer requested; it does not permit campaigns, offers or unrelated product announcements. Store utility consent separate from marketing consent and evaluate each send against the correct permission.

A customer may receive the requested tracking updates while still being excluded from marketing. In the other direction, an older marketing opt-in does not prove that a newly imported order belongs to the person messaging you. Consent and identity checks solve different problems, so neither should stand in for the other.

Describe only the fields that exist

If Shopify says the order is placed but has no tracking number, say that it is placed and that tracking is not available yet. If a carrier link exists, share it. Never invent a delivery date, carrier scan or tracking state to make an answer sound complete.

An order can arrive in the system midway through its life. Record only what the payload proves. When required fields are missing, give a limited answer and flag the gap for staff instead of filling it with an estimate.

STOP cancels automated updates; people handle exceptions

Treat STOP as a permanent opt-out from automated messages. Check it again immediately before every queued update so an event that was prepared earlier cannot overrule the customer's latest instruction.

Use human handoff for an unmatched number, a disputed delivery, a refund request, conflicting status data or any case that needs judgment. Tell the customer that a person will take over, pass the order context to the team and leave a visible owner. Turning off automation without assigning the conversation is not a complete handoff.

Test the workflow with a controlled rollout

Start in simulation with sample orders and no external keys. Test the matched-number path, a wrong phone number, every supported status transition, duplicate events, missing tracking data, STOP and human handoff. Review the stored order and the message a customer would receive before enabling a live store.

Then use a controlled rollout: one development store, named staff owners and a small set of test orders before real customer traffic. The public App Store install flow is not live yet, so do not plan a self-serve installation. Confirm the connection path and support process before promising a launch date.

For cash-on-delivery orders, the Shopify WhatsApp COD confirmation guide explains how to record confirmed, changed, cancelled, unanswered and human-review states without mixing a utility message with a promotion.
