Three options that solve different problems
WhatsApp Business App
A hands-on inbox for a small business owner or team.
- Best for
- Low message volume and mostly manual conversations.
- Setup
- Download the app, create the business profile and configure its built-in tools.
- Who runs it
- The business handles replies, lead tracking and next steps.
WhatsApp Business Platform / Cloud API
Meta's official infrastructure for software and integrations.
- Best for
- A business or product team prepared to build and operate its own workflow.
- Setup
- Configure Meta assets, webhooks, templates, permissions and application logic.
- Who runs it
- Your team or provider builds, monitors and maintains the system.
Managed AI Front Desk
A business outcome layer built on the official Cloud API.
- Best for
- Teams that want enquiries answered, qualified, booked and followed up without assembling the stack.
- Setup
- The provider connects systems, loads approved business knowledge and tests the complete journey.
- Who runs it
- The provider operates the automation; the business owns policies, approvals and human escalation.
When the WhatsApp Business App is enough
The free-to-download WhatsApp Business App is designed for small business owners. It includes a business profile and messaging tools for managing customer conversations. It is a sensible starting point when message volume is manageable and the owner or team still wants to write replies and decide each next step.
It becomes less suitable when lead response depends on several people, when information must move into a CRM or calendar, or when the team is relying on memory to follow up. The issue is not that the app is poor; it is that a manual inbox and an operating workflow are different jobs.

The Cloud API is infrastructure, not a finished AI employee
The WhatsApp Business Platform gives software an official way to send and receive WhatsApp messages. Webhooks, templates and APIs make custom workflows possible, but they do not decide how your business qualifies a lead, what your AI may say, when a booking is valid, or when a human must take over. Your application or provider still has to build those rules and integrations.
Platform policy matters at the sending layer. A customer message opens a 24-hour customer service window for free-form replies. Outside that window, a business-initiated message must use an approved message template. Opt-in and opt-out handling also need to be part of the implementation, not left to an AI prompt.
Read Meta's current WhatsApp Business Messaging Policy before building or buying an integration.
What a managed AI Front Desk adds
A managed AI Front Desk uses the official Cloud API but adds the operating layer: approved business knowledge, lead state, qualification questions, real calendar or CRM actions, compliant follow-up and a human handoff. The provider also helps configure and test the workflow, so the business is buying an outcome rather than an API project.
- Answers only from the business's approved knowledge and boundaries.
- Qualifies the enquiry and records a clear next action.
- Checks a real system before confirming a calendar action.
- Follows up only with the required consent and message type.
- Escalates uncertainty, sensitive requests and high-value leads to a person.

Side-by-side decision table
| Decision | Business App | Cloud API | AI Front Desk |
|---|---|---|---|
| Primary job | Help a person manage chats | Connect WhatsApp to software | Run a defined front-desk workflow |
| Reply model | Mostly manual | Whatever you build | Grounded AI with human handoff |
| Real-system actions | Limited to app features | Possible through your integrations | Configured actions such as calendar booking |
| Follow-up | Staff-managed | Possible if you build policy controls | Consent-aware workflow with approved templates outside the service window |
| Technical ownership | Low | High | Managed by the provider |
| Best fit | Simple owner-run inbox | Custom software project | Done-for-you operating outcome |
Example: an IT-services enquiry workflow
For an anonymous IT-services customer in Chennai, the appropriate design is not a general chatbot. It is a narrow front-desk journey: receive the enquiry, ask about the service needed, urgency and next step, offer a real discovery-call slot, then hand complex technical questions to a person with the context attached.
No measured customer outcome is claimed. The profile documents the implementation pattern only; performance figures will be published only after they are measured and approved by the customer.

A simple way to choose
- Choose the Business App if a person can reliably answer and follow up without extra systems.
- Choose the Cloud API if your engineering team wants control and can own the build, compliance and maintenance.
- Choose a managed AI Front Desk if you want the lead journey set up around real actions and human escalation.
- Do not choose any automation that depends on unofficial browser control, ignores consent or sends free-form re-engagement outside the service window.
